Cancellation & No‑Show Policy
Consistent attendance helps skills build steadily and keeps appointments available for other families. Our policy protects therapy time and supports fair access to care. Thank you for helping us maintain reliable schedules and timely services.
Notice and Rescheduling
Please call at least 24 hours in advance to cancel or reschedule. Voicemail is accepted after hours. With timely notice, we’ll do our best to offer another time that week or place you on a priority list for the next available slot.
Late Cancellations and No‑Shows
Late cancellations made within 24 hours may incur a fee of 50% of the session rate. No‑shows, including arrivals more than 15 minutes late when a full session is not possible, may incur a 100% fee. Fees are not billed to insurance and are due before your next appointment.
Converting to Online Sessions
If your child is mildly ill or an unexpected conflict arises, ask about converting to an online session. We can often switch formats quickly to keep progress on track. Telehealth is a helpful option for busy weeks, transportation issues, or short‑notice changes.
Illness and Safety
Please keep your child home if they have a fever, vomiting, diarrhea, or a new, contagious illness. We’ll gladly reschedule or convert to online when possible. Protecting everyone’s health helps us avoid extended disruptions for all families.
Weather and Emergencies
If severe weather or unsafe travel conditions occur, we may close or move sessions online. We’ll notify you by phone or email as soon as decisions are made. In emergencies, fees may be waived at the Clinical Director’s discretion.
Therapist Cancellations
If we must cancel due to illness or an emergency, we will notify you promptly and offer priority rescheduling. We will also offer telehealth options when appropriate. Your time matters, and we will make every effort to minimize disruption.
Reminders and Responsibility
We provide courtesy reminders 24–48 hours before appointments by text, email, or phone. Reminders help, but families remain responsible for attendance and fees. If your contact information changes, please update us so reminders reach you.
Arriving On Time
Starting on time helps sessions feel calm and productive. If you are running late, please call the clinic. We will try to see you for the remaining time when feasible. If a full session is not possible, late arrival policies may apply.
Repeated Missed Visits
If missed visits become frequent, we’ll reach out to discuss solutions. We may adjust schedules, recommend online sessions, or place your family on a better‑fit time slot. If attendance remains inconsistent, we may need to pause services to allow other families to access care.
How to Cancel or Reschedule
Call your clinic directly or reply to your reminder to request a change. If you leave a voicemail, include your name, your child’s name, appointment time, and your preferred reschedule times. We’ll follow up as soon as possible.
